Lift Quotation Format: Word and PDF Templates for New Installation, AMC and Repair Quotes

By Mr. , ElevatorPlus ·

In short: A lift quotation gets approved when the person reading it can find the price, the scope, what is excluded and the validity date in under a minute. Most quotations fail on the third item: the customer assumes something is included, the company assumes it is not, and the argument happens after the lift is down. This page gives three formats, for a new installation, an annual maintenance contract and a repair, as Word and PDF templates, with every line explained. The lines are ours, drawn from what gets quotes approved faster in the lift companies we work with, not from any statute.

Key takeaways

  • Three jobs, three formats. An installation quote, an AMC quote and a repair quote answer different questions. One template for all three is why repair quotes carry installation clauses nobody reads.
  • Exclusions are the most important section. Civil work, power supply, permits, scaffolding, parts outside the contract: name them, or you will pay for them.
  • A repair quote is a race. The lift is down. The quote that reaches the customer in 15 minutes with the part, the labour and the earliest date wins the work.
  • Validity and payment terms are not fine print. A quote with no validity date is a quote at last year's part prices.
  • Number the quote, and keep the history. The quotation number is what links the quote to the lift, the job and the invoice later.

What this guide covers: What every lift quotation needs · The new installation format · The AMC format · The repair format · What to leave out · The templates · FAQs

What does every lift quotation need?

Whatever the job, a quotation is a document the customer reads once, quickly, and either signs or sets aside. Ten elements, in the order a reader looks for them.

# Element Why it is there
1 Quotation number and date Links the quote to the lift, the job and the invoice later
2 Customer, site and lift reference A site with four lifts needs the lift named, not the building
3 Scope, in plain lines What you will do, as a list, not a paragraph
4 Price, with the tax line separate Base amount, applicable tax, total; one glance
5 Exclusions What you will not do, named, before the customer assumes it
6 Timeline or response time Installation weeks, AMC visit frequency, or repair date
7 Payment terms Advance, stage, on completion; the dates, not "as agreed"
8 Validity The date after which the price is no longer offered
9 Warranty or service terms What is covered, for how long, and what voids it
10 Signature block for both sides A quotation becomes a contract when it is signed; make the line obvious

Everything else (company history, brochure pages, certifications) goes behind the quotation, not in front of it.

The new installation quotation format

An installation quotation is the longest of the three because it covers the most ground: the lift itself, the work to put it in, and the work the customer has to do before you can start.

Section Lines to include
Lift specification Type, capacity (persons and kg), speed, stops and openings, car dimensions, door type, drive, controller, finishes, rated load, machine room or machine-room-less
Scope of supply Every component supplied, as a list; what is standard and what is optional
Scope of work Installation, testing, commissioning, handover, operator training, documentation handed over
Customer's scope (exclusions) Shaft and pit civil work to drawing, machine room, power supply to the machine room, earthing, scaffolding, lighting in the shaft, permits and fees unless quoted, storage on site
Timeline Weeks from advance and site readiness to handover; what "site readiness" means, in a list
Price Per lift, with optional items priced separately; tax line; total
Payment terms Typically staged: with order, on delivery to site, on completion; state the stages and the dates
Warranty and first-year service What is covered, period, what voids it, and whether first-year maintenance is included
Validity Date

The customer's-scope section is where most installation disputes begin. A shaft that is 40 mm out of plumb is not your problem if the quotation says so and nobody's problem if it does not.

The AMC quotation format

An annual maintenance contract quotation is read by someone who already owns the lift and is deciding whether to renew with you, switch, or let it lapse. It is shorter, and the exclusions matter more.

Section Lines to include
Lift reference Make, model, year, capacity, site, lift number; one line per lift if several
Contract type Comprehensive or non-comprehensive, and what each word means on your contract
Visit frequency Planned maintenance visits per year, and what a visit covers (the checklist, attached)
Breakdown response Hours to attend, hours of cover, what counts as an emergency
Parts Included (comprehensive) or chargeable (non-comprehensive), with the exclusions named either way: ropes, major components, vandalism, water ingress, power faults, misuse
Statutory support Attendance at state inspection, help with licence renewal paperwork, where applicable in your state
Price Per lift per year; tax line; total; escalation clause if multi-year
Payment terms Annual in advance, half-yearly, quarterly; the dates
Term and renewal Start and end dates, notice period, what happens at expiry
Validity Date

Two things to state plainly in an AMC quote that most do not. First, what happens at expiry: whether the contract lapses or renews, and when you will remind them. Second, what you do not cover, named, because every lapsed AMC we have seen recovered was one where the customer had been surprised by an exclusion. How to find and recover the lapsed ones is in Lapsed Lift AMCs: How to Find Them, Win Them Back, and Stop the Next Ones Lapsing (live 23 November).

The repair quotation format

The lift is down. The customer is on the phone. A repair quotation is the only one of the three where speed beats completeness, and it still has to be complete enough to be approved without a second call.

Section Lines to include
Lift reference and fault Which lift, what failed, when reported, who attended
Diagnosis One or two lines: the part, the cause, and whether the lift is safe to run until repaired
Parts Each part, quantity, unit price, availability (in stock, 3 days, 2 weeks)
Labour Hours or a fixed line; whether a second technician is needed
Price Parts, labour, tax, total
Earliest date The date you can start if approved today
Under AMC or chargeable State which, and why, in one line, with the clause reference if under contract
Validity Short, often 7 to 15 days, because part prices and availability move
Approval line A single signature or a reply-to-approve line, so the customer can approve from a phone

How a repair quote gets approved from a phone, and why most wait days, is in Lift Repair Quote Approval. The repair quote is where a price book earns its keep. Three technicians quoting three prices for the same part is the subject of Elevator Price Book and Estimating (live 30 November). At Cematic Elevators, a two-branch company in Maharashtra, the sales executive describes quotations that now generate online in 10 to 15 minutes from the site; before, they were written by hand and the customer waited.

What should a lift quotation leave out?

  • A paragraph of company history on page one. The reader is looking for the price. Put the credentials behind the quotation.
  • "As per discussion" and "as agreed". Write the thing that was discussed. A quotation is read by people who were not in the discussion.
  • Hidden year-one costs. If the customer is also buying software, phones or data plans to run with the lift, say so or leave it out; the lines nobody quotes are covered in What Does Elevator Software Really Cost in Year One?.
  • Open-ended validity. No date means the price stands until the customer says otherwise.
  • Exclusions buried in terms and conditions. They go in their own section, on page one or two, in a list.

The templates

Three templates, each as an editable Word file and a print-ready PDF, laid out to the tables above with the exclusions section on the first page.

Template Format Where
New installation quotation Word, PDF Resource page
AMC quotation Word, PDF Resource page
Repair quotation Word, PDF Resource page

Tick the three on the resource page, enter your email and mobile, and the files arrive by email. Replace the bracketed fields, keep the section order, and add your own clauses under the headings rather than in a new block at the end. Tax lines are left as "applicable tax" so the template works in any state and any country.

How ElevatorPlus handles quotations

Quotations are raised from the lift's own record, so the lift reference, the contract and the fault history are already on the quote when the technician opens it on the phone. Parts come from the price book, labour from the standard lines, and the quotation number links the quote to the job and, later, to the invoice. The templates on this page are the paper version of that; the system version is what a field executive uses to send a quote from the site.

Frequently asked questions

1. What is the difference between a comprehensive and a non-comprehensive AMC quotation?

A comprehensive contract includes parts within the stated exclusions; a non-comprehensive contract charges for parts. Both must name the exclusions. The words mean whatever your contract says they mean, so define them on the quote.

2. How long should a repair quotation be valid?

Short. Seven to fifteen days is common, because part prices and availability change. State the date.

3. Should the quotation include the maintenance checklist?

For an AMC, yes, attach it, so "a visit" means the same thing to both sides. The checklist should match your state's lift Act where one is in force; see Lift Licence Rules by State.

4. Can I use one template for all three jobs?

You can, and most companies do, which is why repair quotes carry installation clauses nobody reads. Three templates are faster to approve.

5. Does the template include tax rates?

No. The tax line reads "applicable tax" so the template works in any state and country. Enter your own rate.

A quotation is approved by the person who can find the price, the scope, the exclusions and the validity date in under a minute. Three formats, one per job, with the exclusions on page one, is the whole discipline. The templates are above. The faster version is a quote raised from the lift record, from the site, in minutes.
